Bulk Upload is designed for sending rewards to more than 15 recipients. If your order is smaller you may still use Bulk Upload, but we suggest taking a look at our Standard Mode guide.

How to Place a Bulk Order

Click the Place an Order tab in the navigation bar on the left side of the screen. Then, click Upload Bulk Order

If your catalog has the option, you may select from either the Email Delivery Template or the Mail Delivery Template

Note: You can't include both email- and mail-delivered rewards in the same upload. 

Email Delivery Template Walkthrough

If you select the Email Delivery Template, open the Excel spreadsheet. Go to the Instructions and Examples tab at the bottom of the page for guidance on what each column is used for.

  • Required fields are highlighted in orange and include: ETID, Recipient Email, Recipient First Name, UTID and Reward Amount. Your available ETIDs and UTIDs can be found in separate tabs of the Bulk Order Template
  • Be sure there aren't spaces at the beginning or end of entered information because this will cause the file to fail.
  • When you are ready to start your order, make sure you are on the Order tab. Begin entering information on Line 2 of the excel sheet. Save your file with a unique filename each time you upload a new order. Note: To prevent duplicate order processing, Rewards Genius recommends each uploaded file to have a unique file name. If you attempt to upload a file with the same name as one previously uploaded, a warning message will display verifying if you wish to proceed.
  • If you add text in the "Reward Message" field, be sure to include the {{message}} dynamic tag in your email template. Otherwise, the message won't pull through to your reward email.

Uploading Your Bulk File

  • In your Rewards Genius portal, click Place an Order in the navigation bar on the left side of the screen. 
  • Click the Upload Bulk Order button on the top right-hand side of the catalog
  • Either drag your .xlsx or .csv file and drop it into the Drag & Drop section, or click the or, Select File button

  • If your file contains any errors, this will be indicated once the file is uploaded. Errors are broken down by line (row) number that corresponds to your file. Correct the indicated errors, and re-upload the corrected file. 
  • Once in your Shopping Cart, you can edit any of your recipient information by clicking the edit button, or delete them from your cart by clicking delete.
  • Click the Checkout button to get to the Checkout page. You can also clear your shopping cart by clicking the Delete All button toward the top-right corner of the screen.
  • When you're done editing and reviewing your order, click the blue Checkout button in the upper right-hand corner.
  • Click the final Place Order button to confirm your order.

Mail Delivery Template

  • If you selected the Mail Delivery Template, open the Excel spreadsheet and go to the Instructions and Examples tab at the bottom of the page. 
  • Note: Required fields are indicated: UTID, Reward Amount, Ship to First Name, Ship to Last Name, Address 1, City, State and Zip. Your available UTIDs can be found in the UTID Key tab of the Bulk Order Template
  • Note: To prevent duplicate order processing, Rewards Genius requires each uploaded file to have a unique file name.
  • In your Rewards Genius portal, click Place an Order in the navigation bar on the left side of the screen. 
  • Click More Order Options in the top-right corner and select Upload Bulk File.
  • If your file contains any errors, this will be indicated once the file is uploaded. Correct the errors, and re-upload the corrected file. 
  • Once in your Shopping Cart, you can edit line items in your order by clicking Edit button next to the line you would like to edit.
  • Click the Checkout button to get to the Checkout page. You can also clear your shopping cart by clicking the Delete All button towards the top-right corner of the screen.
  • Once on the Checkout page, use the Order PO Number and Order Notes fields if you would like to reference a particular PO number or note for this order. The notes entered on this Checkout Page will be associated with the entire order, whereas the notes entered in the Mail Delivery Template will be associated with the line-item they were entered for.
  • Click the final Place Order button to confirm your order.
