A few notes:

  • Email template access levels can be set at the Organization, Group, or Account level. These are the same access levels that can be set for users.

  • A user who has Manage permissions for email templates can create and edit templates at their level of platform access.

There are three steps for creating an email template:

  1. Details: Customize the email template, including email banner, message, and more

  2. Access Levels: Set template access to the entire Platform or specific Accounts or Groups

  3. Defaults: Set a template as the default for the Platform or specific Accounts or Groups


Managing Email Template Permissions

  • Click the blue account menu in the top-right corner of the screen. Click Reward Templates from the drop-down menu.

  • Find the email template for which you'd like to change access levels and click the three dots next to it, and then choose Edit Template. You can also create a new email template.

  • Click Access Level to edit Access Level settings; all required fields for the email template must be filled out first.

  • Select whether a template will be accessible for use by the whole Organization, or specific Groups or Accounts. It's possible to allow multiple Groups and Accounts access to the same template.

How Access Levels Work

  • A template with Organization Access will be visible to all users on this platform, regardless of their access level.

  • A template with Specific Access: Group will be visible to all users who have access to the entire Group or Accounts under that group.

  • A template with Specific Access: Account will be visible to all users who have access to that specific Account.
