Manage custom user roles in Tango

Custom roles are designed to meet the unique needs of your organization. They are fully configurable, allowing you to tailor permissions and access levels to align with your internal goals, workflow, and objectives. Custom roles come in handy when the default roles don’t quite fit. For predefined default roles, see Manage default user roles in Tango.

 

Why use custom user roles?

Custom user roles are used to shape access around the real responsibilities of each team—not just what the default roles happen to allow. Custom user roles:

  • Grant only the permissions a user needs

  • Give flexibility to support unique departments or use cases

  • Make permissions easier to review, audit, and justify

  • Provide better separation of duties between different teams and departments

 

Required permissions

You must have the Entire organization access and Manage roles permissions to create and manage custom user roles.

 

Use case

At Acme Health, the platform admin creates a custom Finance Reviewer role to give the Finance team the visibility they need without granting operational control. Taylor, who works in Finance, signs in and can review past reward transactions, monitor ongoing activity, and generate reports for accounting. However, Taylor cannot send rewards, manage users, or change any platform settings, ensuring Acme Health maintains strict separation of duties and least‑privilege access.

 

Create custom roles

With Entire organization access and the Manage roles permission, you can create custom roles to grant only the exact permissions users need.

To create a custom role:

  1. Sign in the Tango portal.

  2. Click Users on the left menu.

  3. Click Roles & permissions.

  4. Click Add to create a new custom role.

  5. Enter the Role name.

  6. Click Create role. A confirmation message appears.

  7. Toggle additional permissions On or Off to adjust capabilities for the role.

Rename, duplicate, or delete custom roles

With Entire organization access and the Manage roles permission, you can edit existing custom roles.

To rename, duplicate, or delete a custom role:

  1. Sign in the Tango portal.

  2. Click Users on the left menu.

  3. Click Roles & permissions.

  4. Select the “Custom role” you'd like to edit.

  5. Click More actions in the top-right corner, then choose one of the following:

    1. Rename: Update the role name, then click Save.

    2. Duplicate. Create a copy of the selected role then click Duplicate. Enter a new role name, make changes and click Save changes. Changes will apply to all users assigned to this new role.

    3. Click Delete to remove the selected custom role. You may be prompted to confirm before the role is deleted.

View custom roles

All custom roles are listed under Users > Roles & permissions.
